Billing
Subscription and payment for the firm.

What this is for
What this team pays for, and how to change it. Only an Owner or Admin reaches this page. A Designer is refused. Checkout is a signed form the browser posts to the payment gateway - nothing about the amount is constructed in the page.
Steps
- Open Billing. Plan and usage is next door.
- If no gateway credentials have been entered on this deployment, the page says so and Choose is disabled. Whoever runs the deployment sets them in Administration, settings. That is a standing condition, not a fault in the button.
- If the gateway is in test mode, the page says so: no real money moves.
- Current plan is the subscription. A team that has never subscribed is told which plan it is on and the day that runs out - from the trial, a code or a grant - and that nothing is charged for it. A team with no plan at all is told that instead, and that everything it already holds can still be opened. A period that never started shows a dash for "Paid until", not a dummy date. A plan nothing at the payment provider is charging - one paid for some other way and extended on the account - says Nothing recurring under "Charged", with dashes for the tax and for who takes it, because no debit is running against it.
- Plans lists each tier with a monthly or annual price and seats. Where tax is added at checkout the price says it excludes it, and names the tax; where it says nothing, the price is what is charged. Current plan marks the one being paid for. A plan the team is on without paying - during the trial, or from a code - is marked with the day it runs to and keeps a button, Pay for this plan, so a trial can carry straight on as the same plan. Choose starts checkout when payments are configured.
- The page asks first whenever a choice ends something. Choosing a plan while another is paid for replaces it: once the new plan's payment goes through, the old plan's recurring charge is stopped and the team moves to the new plan straight away, and what is left of the old plan's paid period is not credited - see the refund and cancellation policy. Choosing a plan during the trial or a code ends it the day the payment goes through, and the days left are not added on. A smaller plan lists what it takes away - seats, projects a month, the largest design, features - before the payment page opens.
- Coming back from the payment page, the page says "Confirming the payment" while the payment provider confirms it, which usually takes a few seconds, and then that the payment was received and which plan the team is on. If it has not been confirmed within two minutes the page says so: nothing needs doing, the plan changes when it lands and the receipt goes to the owner, and it gives the reference to quote if the plan has still not changed within the hour. "That payment did not go through" means the provider did not take it: nothing was charged and the plan has not changed. Backing out on the payment page says that nothing was charged.
- Have a code? takes a code given out at an event or by a partner and puts this team on the plan it carries, for as long as it carries. A code works once per team. One that is expired, withdrawn or already used says so and changes nothing. A team already paying is refused: talk to us and we will sort it out on the account.
- Cancel subscription runs to the end of the period already paid for, and the confirmation names the day. It does not cut the plan off today. Where there is no live period - a checkout that never paid, or a renewal that has already failed - the confirmation says so instead, and cancelling ends the plan at once.
- State says where the subscription stands. "Cancelled, running until" a date is a plan still working. "A renewal did not go through" names the day the plan stops instead: that is a deadline to act on, and it is later than the "Paid until" date above it because a failed renewal is forgiven for a few days.
- Payments is the history of what has been taken. Empty is a sentence, not a missing table.
- A payment that went through carries Invoice at the end of its row, which opens the invoice for it as a PDF. A payment still pending, or one that failed, carries nothing: there is no invoice for money that never moved. The invoice number is the reference in the row beside it, so it is the same number to quote when asking about a charge.
- Details on any row opens everything the table has no room for: when it started and when it completed, the amount and the tax inside it, which gateway took it and that gateway's own reference, and what the gateway said where a payment failed. A payment that never completed shows a dash for "Completed" rather than a date.
What happens when a plan ends
Plans end on their own, on the day they run out. Nobody has to press anything, and there is no closing bill to settle.
- The team's owner is written to: once when a plan is cancelled, again shortly before it runs out, again if a renewal fails, and once when it has ended.
- Nothing is deleted. Every project, design, report and proposal stays where it is and stays readable. What stops is making new ones: with no plan, creating a project, running a simulation and generating a proposal are all refused. Plan and usage states where the team stands.
- Everybody can still sign in. A plan is about what a team may create, never about who may open the product.
- Taking a plan out again opens all of it back up as soon as the payment confirms.
Tips and common mistakes
- Entitlement comes from a confirmed payment. Starting checkout does not by itself raise the plan.
- Prices on this page are the ones this deployment bills. Compare plans on the public pricing page if you want the marketing list.
- Billing is not in a Designer's sidebar, because what the firm spends is not theirs. A Designer who needs a larger plan asks an Owner or Admin.
