Guest share links
View-only project links for people without an account.
Reviewed
What this is for
A view-only page for a client who has no account. One project, the design the link names, and the documents ticked as the client's. It grants no editing and reaches nothing else you own.
A guest share is not a Viewer seat. A Viewer is on the roster. A link is one project, for somebody who is not a member.
Steps
Make the link
- Share, which leads the action row on every section of the project rather than on Overview alone. The count beside it is how many live links and named people can see the project now. Heading: who can see this project. It is drawn only for somebody who can edit the project, so a view-only reader cannot pass the project on.
- By link is for a client. No account needed.
- Sent to is a note so you can tell this link from the others - a person or a firm the product has never heard of. Nothing is emailed from that box. The placeholder is "e.g. the homeowner".
- Expires: in 30 days, 90 days, a year, or never until revoked. Default is 90 days.
- Shows which design the holder sees. A project can carry several. Left on "The largest design", it follows whichever that is.
- Figures: the latest run, or a named run. Latest keeps the page in step while the job is still moving. Naming a run freezes the numbers as they were quoted.
- Create link. The URL is shown once. Copy it now. Only a hash is stored, the same way a password is, so the product cannot show the live URL again. Lost it? Revoke and create another.
- If this deployment can send mail, Email it to appears with the URL - that is the only moment the product can put the link in a message. If delivery is off, copy it and send it yourself.
- On Documents, the Client column is what the link actually shows. A generated document starts ticked. A file you added starts unticked, because it may be a costing. The link shows ticked documents for the design it names, and ticked files added against the whole project - never another design's.
- The list keeps revoked and expired rows, muted, because who could see the project and when is the question. State reads Live, Live until a date, Expired or Revoked. Opened is how many times the link has been opened and Last opened is when, a dash if never. A live row's menu can switch it to Follow the latest run or Freeze on a named run; the change saves as you pick it. Revoke, in the same menu, stops the link at once, and the confirmation says how many times it has been opened.
- By name is a colleague with an account, view or edit, this project alone. To give somebody every project the team is quoting on, add them to the team instead.
What they open
The address is /share/…. They do not sign in. The tab names the sender, not the product.
- Shared with you · view only, the project name, and "Prepared for" the client when one is set.
- The firm's letterhead: mark, address, phone, email, website, the two registrations. That letterhead is the branding row as it stands now. A proposal PDF they download still carries the branding frozen when it was generated.
- The banner, if Branding has one chosen and "Show the banner on shared pages" is on. It is never on the PDF.
- Tabs that exist on this project, in this order: Savings when a financial model has a result, Design (on the map or in 3D), Production and Shading when a run has finished, Documents always. A tab standing over nothing is not drawn. The page opens on Savings where there is one, because the money is what the reader is deciding on; otherwise on the first tab it has.
- On Savings, the strip at the top is What it saves: the first year off the bills, their cost of power per kWh over the array's life, the saving over its life, and when it pays back (a dash where it does not inside the modelled life). On every other tab it is This site: the address, nameplate, modelled yield, shading loss, and how many documents are published. A dash where nothing has been drawn or run, never a zero that looks like a measurement.
- Documents they can Download. The single-line diagram, if ticked as the client's on Documents, is in that list. Empty is "No document has been published for this site yet. The link will show it when there is one."
- Provenance under the figures: which run, which engine, and the compliance statement where there is one.
- Terms and conditions, folded shut, when Branding carries terms. They are the same terms a proposal prints.
- Questions about this at the bottom, when Branding has an email: the firm's own contact, not a form they can write into.
A wrong, revoked, or expired link is the same screen: "This link does not open anything." It does not confirm the project still exists. Ask for a new one.
A download or an array that answers "busy being prepared, please try again in a moment" is not a broken link. Drawings and PDFs are built when they are asked for, and the server builds a few at a time so one big site cannot slow the rest; trying again shortly works. The link itself is unaffected.
Tips and common mistakes
- Do not treat a guest link as a team invitation. They cannot open the designer, they cannot see other sites, and they cannot edit.
- "Sent to" will not mail the client. Use the send control that appears with the URL, or pass the link by hand.
- Untick Client on a document you are not ready to show. Ticking it does not put that document on a link about another design.
- Following the latest run is convenient while you are still modelling. Once a price has gone out, name the run.
